  1. I don’t remember the pagination issue when we rostered for fall, but since new bugs crop up I am unsurprised.

    The lack of DOB one was an issue for us that we simply worked around, but it annoyed my age division commissioners. They said they resolved a big about this in the August product update, so I was hoping it was fixed.

    I note the data you mentioned are “core profile data” and that may impact the data integrity issue? Overall the data integrity is my major complaint with this product. It underlies all other complaints and the fact that the bugs change but don’t disappear is disheartening.

    I assume you’ve sent all these via the feedback button? They say that’s the best way to reach the developers.

    I was put in touch with my account manager when I on-boarded. It was the person who initially got the first steps of getting the site launched. If you haven't on-boarded recently I'm not sure how you find that person.

    Back in summer it used to be questions to the help desk were answered promptly and often helpfully (not always). Around September or so that changed significantly so I'm not surprised you're having trouble. My best tip is to keep responding - answer back "We haven't heard from you in a while..." with "I still need an answer" until you get one.

    The "Sync Changes" button specifically says, "Keep your season site up-to-date." That made me think that there is a special trick to update the Team Site.

    And you're using those season microsites? The ones where you have to embed the JavaScript? If so then Sync Changes should be all you need.

    If you're trying to get the team calendar from the iCal feed using the team pages workaround here:

     then you need to follow all the many steps to get the little calendar view to work. And you may have to wait a couple hours for the iCal feeds to update to the site. It takes a while. You can speed it up by refreshing the iCal feeds from the iCal feed view in Website Settings in the HQ admin screen.

    Have you hit the Sync Changes button? Nothing shows up on those ridiculous micro sites until you do…and you have to hit it for every change. Every time you reschedule something. Every time scores or stats are entered. Every cancellation. Every added practice. Every time you hit that button or the public won’t know.

    Why? No one has ever explained that to me. No other league management platform operates like that.

  5. @Marie Fitzgerald claimed over a month ago that Season Management (which yes, does matter - Sports Management still has messaging) messaging in the app was coming "very soon". I believe the breakage has something to do with the fact that Season Management teams are not also member groups, unlike Sports Management teams. It also breaks the ability to email the group from your inbox - the only way to do it is from TeamCenter. My coaches who has prior SportsEngine HQ experience with other clubs complained at me bitterly about it (or just asked why we weren't using GameChanger as our primary app).

Yes, this was our VERY FIRST hint that SportsEngine HQ wasn't actually going to work for our league of 300-400 players over multiple seasons in house plus another 200 in travel: the lack of recurring events and import/export for events. These things have been on the Season Management road map since, no joke, April 2023 when they provided an ETA of mid-May 2023. Would have been nice, huh? My scheduler put in five hundred plus practices by hand. The 100-something games with an import were nothing on that. He liked the import and would have liked it for events also.

    Technically recurring events are on the new roadmap (https://www.sportsengine.com/club-admin/hq/upcoming-season-mgt-releases), but technically they were before too. And I cannot be more disappointed that one of their priorities is integration with Diamond Scheduler and Avario, products that require you to pay even more to do your scheduling and then import it to HQ. It's not encouraging.

    And the communication in HQ's Season Management drove one of my most dedicated volunteers to near distraction. It's horrible. No automated RSVPs. Can't always see contact information to communicate outside the app - and if you coach teens you have no guarantee that they come from good families where parents will actually be helpful or interested in downloading an app/responding at all. Bugs about adding extra emails or guardians. It was awful.

    Microsite Now Is Master Calendar

    As an important note, the microsite now does act as a master calendar, so you don't strictly need to do the calendar part if you don't want to. I know it's ugly and not a match for the rest of anyone's site, so I can see why you may still want to.

    Possible Issue: Did Not Grab Right Feed

    Your iCal feed for a team should look like:

    http://ical.sportsengine.com/v3/calendar/ical?team_ids=<TEAM ID FROM TEAMCENTER>

    That TeamCenter team ID is a whole long string. 7 hexidecimal characters (numbers 0-9 and letters a-f), a dash, 4 hexidecimal characters, a dash, 4 hexidecimal characters, a dash, 4 hexidecimal characters, a dash, 12 hexidecimal characters. So something like:

    0000000-0000-0000-0000-000000000000

    I manually grabbed it from the end of my TeamCenters - each and every one. Each feed will have a different team ID.

    Possible Issue: Used All Tags

    When you copy an iCal feed, you need to set the tag to JUST the page for that team. From the instructions:

    This is important: be sure to click “Enable Events” at the bottom. This will create the necessary calendar tag that everyone wants. More on that below.  Create a new General Page for each of your teams.

    If you didn't do that initially, in edit mode on your team page click the "Options" tab and then the "Edit Page Details" link. In the modal dialog that pops up click "Enable Events."

    Now, when you go to add the iCal feed (or edit the iCal feed you added), you have to click "Show Tag Menu." Unselect ALL tags except the team matching that feed. Save. In the iCal feeds page click "Refresh." That will remove the feed from all your other teams (otherwise if you don't click refresh it will happen after a few minutes to hours. There's substantial lag on how often HQ pulls from the iCal feeds - drives my scheduler and umpire coordinator CRAZY).

    Yes, we came from League Athletics so we know what good conflict checking looks like. I've done a pretty comprehensive market survey and while other platforms definitely offer conflict checking that works (and at least one has a very pretty public facing master calendar), none come CLOSE to what League Athletics had in terms of ease of use for a scheduler.

    We're a pretty complex softball org also, with over a dozen fields and a similar number of players. I definitely hand entered 40 iCal feeds this fall to make something remotely usable for my families. I was very strongly considering that Google Calendar and Square were easier alternatives somewhere in the middle of our fall season.

    Really appreciate the help!  You'll probably see me a lot more active on this forum in the near future as I seek to figure out if SE is our permanent league tool (migration from Sports SignUp Play happened prior to me joining our board) or if I need to evaluate competitors.  Each has its pros and cons, and there's a time cost for switching, so I'm thinking we may be able to get away with supplementing SE with a few integrations (centralized facility calendar + player eval tool are the two big ones for us).   But there are also some annoying bugs that I need to close the loop on...

    If I had access to the underlying database, I would imagine this is a simple SQL join to the "People" table to pull that data.  Unfortunately these data elements do not seem to be exposed in the "Fields" section of the report.

    You can consider putting in a feature request through the support chat - not sure how far that will get you.

    I don't think they use a relational database. The public API uses GraphQL, so I assume it's a graph database under the hood. One option for you might be to get access to the API and use it, if you're a developer? It will give you all the info you need. Get access to the API following instructions here. API help docs here.

    Another option that occurred to me is to use the Members view, add all the registration questions, and filter on "Entry Status" "IS" "Active." You can make a smart group out of it, even. This should give you the player core profile data in one. Parent...I'm not sure about. You may have to make another to get it. Member report overview here. Smart Group report overview here. I made smart groups for all my registrations off of the selected division in our last season. It's pretty powerful.

  12. So the first part of what you said matches how things work - as you've noticed. Parents log in and create players and add them.

    Do you need to be able to click to profiles, or do you want all player data in the default report? To click to player profiles, make sure to include First and Last name on your report and clicking will take you to a player profile.

    If you just want the data, change the "Fields" to show all that information in the table/downloadable CSV. Do it following the not-very-detailed instructions here.

    Unfortunately there isn't an easy way to access any parent data from the account itself other than email and secondary email. We had to have extra questions for those.

    I never got it to work. However if you go into the member profile it may show a merge button. It shows it if the account of the duplicate has never been activated. When you push the merge button on the profile it gracefully merges.

    If the member profile for both duplicates has been activated you have to ask the help desk to merge them.

    Yes, I assume (as a programmer) they either went with a data store they aren’t familiar with or that the gotchas of cloud based programming/micro services are catching up to them.

    But also as a programmer I have switched languages, data stores, and entire programming paradigms multiple times in my career. It’s something professionals should be able to handle. And they also said their app was buggy due to performance problems. So the problems go further than Season Management.

    SportsEngine has been around a long time - in the range of organizations like League Athletics, Team Sideline, and Demosphere. They should be able to handle this. They once had a product good enough to be bought by a major corporation. What changed?

    So after both winter and spring seasons have concluded? And they declared this product no longer beta already?

    I don't know how their site builder and registration form builder can be so beautiful, and this product and the app be what they are.

  16. 1. They're hard to find, but they are there. Go to "Members" -> "Directory" and then scroll below the table to "Legacy Directory (Permissions and Newsletters)". In the view that shows up, select "Messages" from the 3 tabs. You'll see all sent messages there, unless you send them to a group. If you message a group, then select Groups (still in the legacy directory, but this is near the top) and pick the group you messaged. Then in the view that shows up, pick "Messages."

    Why they haven't yet integrated messaging views into the new directory better is beyond me.

    2. If you message a player, I believe all emails attached are messaged. So unless the players registered themselves, the email goes to the parents/guardians emails attached. In fact if you want it to go to the kids they will have to add their email to their parents or add themselves as guardians to their account (instructions here:

  17. No, it doesn't. It works the way you want. You have to manually process the refund.

    Alternately you could have a hidden field in your registration "Meets USA Water Polo Requirements" that defaults to no, and change it to yes for everyone you have determined meets it, while reaching out to those who don't. But that's probably an extra step. It may clarify your bookkeeping, though.
