Create automated messaging attached to registration sessions
Sign up or purchase anything online, and it’s standard for a receipt to immediately pop into your inbox. In registrationspeak, that receipt is an auto notification confirming what you have just signed up for or purchased.
As registration sessions are completed, some organizations using SportsEngine’s Registration software choose to send out additional auto notifications beyond just the customary receipt. These notifications are separate, custom messages that can contain everything from information about upcoming camps and clinics to fundraising and volunteering details to tryout procedures and schedules.
Auto notifications can be pre-set to go to the entire registration group. Or, more commonly for large organizations, messages can be customized and sent to specific groups within the broader registration session.
As an example, the Edina (Minnesota) Hockey Association sends a message to all girls 8U registrants that lists the dates and times of its free skill clinics, grading sessions and scrimmages for girls in the various age 8-and-under levels.
We show how to send auto notifications to registrants:
Log in with your SportsEngine account. Click on the Admin Control Panel Link, then select Registration from the main menu. Choose the desired registration session from the list. Clicked the Saved Reports tab, then choose the desired report. Click the Help Center link below to learn how to create a saved report. Note: The location and look of the Admin Control Panel link varies depending on the Sitebuilder template.
Once you have opened a Saved Report, click on the Auto Notifications link in the upper right. Click the Create New Notification link in the pop up window. On the next page, give your notification a name, then choose the on_demand option in the Alert Type menu. On demand notifications are sent instantly when a new entry is added to the report while daily notifications are sent one per day, typically between 12 and 3 a.m. Choose Email as the Notification Type. Clicking into the Email Address(es) field will activate the fly-out list of available variables on the right side of the page. Choose the fields you want, making sure to separate them with commas. Fill in the subject line for your email.
The last step is to enter your email message, providing as much information as possible about your topic. Click the Save Notification button at the bottom when you are done. To edit or delete your auto notification, just return to the saved report and click the same auto notifications link in the upper right of the page. All auto notifications for that report will be listed, and in the Actions column you have the option to Edit, Delete or Process.
